Agree Paginated Record-List Completeness Before Handover

A bilingual pre-handover guide for proving that one scoped, authorised paginated record list shows its planned synthetic records once each across pages.

Set a Narrow Review Boundary

Use this suggested workflow practice only after the release, one record list, its normal access role, and its intended filters are already scoped. The purpose is to agree whether a reviewer can demonstrate that a specific authorised list is complete across its available pages. The deliverable is a pagination acceptance matrix plus retained nonproduction evidence. It is not a general handover approval, a search test, a report reconciliation, an archive-retrieval exercise, or a request to redesign the list.

Write the question so it can be observed: under this stable role, fixed filter, and stated ordering, does each member of the planned synthetic set appear once, and does no unexpected reference appear, while the reviewer traverses every available page? A page that looks plausible is not enough. Nor is a count shown beside the list, because this review checks the displayed record references page by page.

Bring the dated scope or release reference, nonproduction environment name, record-list name, authorised test role, and a named reviewer and decision owner. Do not alter permissions during the exercise. Do not use customers, staff, payments, or live operational records. Do not prescribe a query, database index, offset method, cursor method, or any other implementation technique. The team is checking observable behaviour within the agreed capability.

  • Dated scope reference
  • Named test environment
  • Authorised stable role
  • Single record list
  • Named decision owner

Agree the Expected Set Before Opening the List

Prepare a small synthetic expected set before navigation begins. Give every planned item a stable, readable reference that can be recognised in the list, such as TEST-LIST-01 through TEST-LIST-09. The set should be large enough to require more than one page under the agreed page size. Record the references in the expected order, the intended filter values, the intended sort field and direction, and the page size or visible pagination arrangement where it is observable.

The expected set is a test fixture, not a reconstruction from what happens to appear on page one. Record whether each reference is expected to be included or excluded by the agreed filter. If the scope does not establish a filter, sort order, or access role, pause the review and ask the responsible people to resolve that boundary. A later reviewer cannot judge a skipped reference if the intended population was never stated.

Keep access scope stable throughout. A reviewer should sign in with the already authorised test account, apply the agreed filter once, and capture the initial visible state. If the product remembers an earlier search, filter, or page position, clear or reset it using the normal agreed interface and record that action. Do not silently substitute a broader role merely to find a missing item.

  • Synthetic references prepared
  • Expected order recorded
  • Filter values fixed
  • Sort direction fixed
  • Access scope stable
  • Page state captured

Traverse Every Available Page

Start at the first available page and record the visible page identifier, active page indicator, navigation controls, and every displayed stable reference. Move forward using the normal next-page control or numbered page control that the interface provides. On each page, capture the same facts before moving again. Continue until the interface indicates there is no further page. Navigation guidance can help make previous and next controls understandable, but it does not prove the list’s data completeness.

Do not infer that a reference on page two is distinct merely because its row position differs. Compare the actual stable references against the expected set. A repeated reference is a duplicate observation; an absent planned reference is a missing observation; a reference outside the planned set is an unexpected observation. Record each separately. Do not delete, edit, create, or change a synthetic record to make the traversal look complete.

After reaching the final page, travel backwards through the available pages using the ordinary previous-page control or a page link. This reverse pass is a useful check that visible page state changes as expected and that earlier pages can be revisited under the same scope. It is not a second population definition. If the list changes while the check is running, stop and record the change rather than combining observations from two unclear list states.

  • First page observed
  • Each page recorded
  • Forward traversal complete
  • Final page observed
  • Reverse traversal complete
  • References compared

Record a Reusable Acceptance Matrix

Use one row for each expected reference and a separate row for each unexpected reference. A compact matrix can contain: release reference; environment; role; list name; filter; order; starting page; observed page; observed row position if useful; stable reference; expected inclusion; observed inclusion; duplicate status; evidence reference; reviewer; and decision. Record the visible page state separately from the record reference so a later reader can see where each observation occurred.

Mark a planned reference as observed once only when the reviewer can identify it on a captured page under the agreed conditions. Mark it missing when every available page was traversed and no matching reference was observed. Mark it duplicated when the same reference is observed more than once in the traversal. Mark an unexpected item when it appears although it is not in the planned included set. These are observations, not explanations of technical cause.

A pass requires the agreed synthetic set to be observed once each, no unexpected reference under the fixed scope, and evidence adequate for another authorised reviewer to repeat the route. A pass does not certify every future filter, role, data volume, browser, report, archive, or production condition. Keep the decision narrowly attached to this release, list, role, filter, ordering, and synthetic set.

  • Matrix fields complete
  • Missing items marked
  • Duplicates marked
  • Unexpected items marked
  • Evidence linked clearly
  • Decision boundary stated

Handle Exceptions Without Expanding Scope

If a planned reference is absent, appears twice, appears on an unexpected page, or the visible page state contradicts the route taken, record the defect or unresolved exception. Keep the acceptance decision open. Include the affected reference, conditions, exact route, evidence location, time observed, temporary handling if any, and the person responsible for the next decision. Do not relabel the result as passed because most references were visible.

If a reviewer cannot determine whether the list changed during traversal, treat the result as inconclusive rather than complete. Capture what was seen, identify the uncertainty, and arrange a new controlled run after the relevant state is stable. If the product has no observable stable record reference in the list, record that evidence limitation and decide whether the existing scope supplies another agreed visible identifier. Do not invent a hidden identifier or require a new feature within this review.

A correction may be made through the normal implementation process, but this guide does not authorise a production change. Once the responsible team says the issue is corrected, repeat the complete traversal with a newly identified synthetic run. Preserve the original failing evidence and link the rerun to it. Close the exception only when the agreed rerun meets the same bounded acceptance conditions.

  • Exception described plainly
  • Evidence preserved
  • Decision owner named
  • Temporary handling recorded
  • Rerun conditions agreed
  • Original result retained

Fictional Multi-Page Walkthrough

Fictional example: a nonproduction work-item list is scoped for the Operations Reviewer role, filter Status equals Ready, ordered by Reference ascending. The planned synthetic set is TEST-LIST-01 to TEST-LIST-09. The visible list shows four rows per page. The reviewer records page 1 with 01, 02, 03, and 04; page 2 with 05, 06, 07, and 08; and page 3 with 09. They then return through page 2 and page 1, recording the active page state at each step. The matrix shows every expected reference once and no unexpected reference, so the bounded example can be accepted.

In a separate fictional observation, the same reviewer runs the agreed route after a stated release candidate changes. Page 1 shows 01 to 04, page 2 shows 05, 06, 06, and 08, and page 3 shows 09. TEST-LIST-07 is missing and TEST-LIST-06 is duplicated. The reviewer records both findings, retains the page captures, and leaves the decision open. They do not change filter settings, elevate access, or assume that the displayed number of results corrects the contradiction.

The next step is for the named implementation owner to assess the recorded issue through the agreed defect process. After a correction is available, the reviewer creates a new synthetic run record and repeats the whole forward and reverse traversal. Only that rerun can support a new bounded decision. This example is fictional and illustrates documentation practice, not a client result or a promise about any system.

  • Fictional case labelled
  • Forward route completed
  • Reverse route completed
  • Separate defect observed
  • Open decision retained
  • Correction rerun required
