Set the review boundary
Use this suggested workflow practice only after the system release, relevant record group and routine workflow are already scoped. The purpose is to agree how an archived record will later be found and understood. The deliverable is a retrieval acceptance sheet plus one completed fictional search test. It is not a feature request or a general handover sign-off.
Start with the dated scope, release or environment reference, record group and the existing role that is already allowed to view it. State the archive question in ordinary language: for example, whether a viewer can locate an archived job by its stable reference and see that it is archived. Do not infer a retention rule, legal requirement, or universal archive capability from this review.
Keep three actions distinct. Hiding means removing a record from an active worklist while it remains retrievable through the agreed route. Deleting means the record is no longer available through that route. Returning to active work means changing operational treatment after a named person decides; this guide only names that decision owner and does not make the change.
- Dated scope available
- Release reference named
- Record group bounded
- Viewer role already agreed
- Archive question stated
Describe the retrieval route
Write the route as a sequence a later reviewer can repeat: starting view, search term or filter, expected result, record opening step and visible archived indication. Prefer a synthetic record reference made for identification over a customer name, row number or remembered wording. A reference can be fictional for the test, but its format should resemble the agreed record format.
Define the search boundary. Say whether the test starts from a records list, archive view, global search, or another already agreed screen. Say which filter is applied, omitted, or intentionally cleared. This prevents a result being treated as a retrieval success when it appeared only because an active-work filter was still in place.
Name the linked records that matter to interpretation, such as a related task, note, payment or attachment, only if they are in the agreed scope. For each, state whether the test needs to show a link, open it, or merely confirm that it is not part of this acceptance. Do not add new relationships, fields or views during the review.
- Synthetic reference chosen
- Starting view recorded
- Search boundary recorded
- Archived state identified
- Linked record treatment stated
Build the acceptance sheet
Use one row for one retrieval scenario. Record the scenario name, record group, synthetic reference, existing viewer role, starting location, exact search or filter action, expected matching result, expected archived marker, linked-record check, evidence reference, outcome and named reviewer. The sheet should make a pass or unresolved result understandable without relying on memory.
Write outcomes that can be observed. “Archive works” is too broad. A better outcome is: “With the active-only filter cleared, the viewer searches the supplied reference, opens one matching record, and sees the agreed archived label.” This follows a practical acceptance pattern: name the actor, action and observable result.
Include a decision field for return to active work. It should identify who decides whether a record may return, how that decision is recorded, and what happens if the person is unavailable. It does not assign permissions, authorise a change, or require the reviewer to test reactivation. If no decision owner is known, mark the sheet unresolved rather than guessing.
- Scenario has one purpose
- Action is repeatable
- Result is observable
- Evidence location noted
- Decision owner named
Run one fictional search test
Fictional example: The agreed record group is service jobs. An existing operations viewer starts in the agreed jobs list. The synthetic reference is TEST-ARCH-042. The reviewer clears the active-only filter, searches that reference, opens the single matching job, and sees an “Archived” state. The sheet notes that a linked task is visible but its details are outside this test. The outcome is pass only if those stated observations occur.
This example is fictional and is not evidence about a real client, record, system or archive design. In a live review, use an approved safe test item or a non-sensitive agreed example. Do not create, edit, archive, restore, export or reactivate records merely to complete this worksheet unless those actions are separately authorised.
Capture evidence in the form already accepted for the handover, such as a reviewer note or approved screenshot reference. Record what was observed, the date, the reviewer and any boundary that affected the result. Evidence should show the agreed check, not introduce unnecessary personal or operational information.
- Fictional case labelled
- Reference search completed
- Single result checked
- Archived marker observed
- Outcome recorded clearly
Decide exceptions without expansion
A search may fail because the reference has no match, several matches appear, the archive filter is unavailable, the archived marker is unclear, a linked record is missing, or the existing viewer cannot reach the agreed starting point. Record the condition, the evidence, the immediate safe instruction, the person who decides next, and whether it is an acceptance gap or a separate scope question.
Treat an unknown result as unknown. Do not call it deletion merely because it is absent from an active list, and do not call it an archive success merely because a search returned something similar. If the issue requires a new permission, screen, filter, data field, export, restore procedure or retention decision, place it in the appropriate scope or change-decision process rather than changing this sheet.
When a record may need to return to active work, the named business decision owner decides whether that should happen under the existing process. If the decision cannot be made, leave the record unchanged and log the unresolved question. This protects the retrieval review from becoming a live operational change.
- Exception described precisely
- Evidence linked clearly
- Safe instruction recorded
- Scope boundary preserved
- Unresolved item assigned
Close the handover check
Review the sheet with the business owner or other named acceptance authority. Confirm that it covers one agreed record group, one existing viewer role and one repeatable route. A pass means only that the stated fictional or approved test produced the stated observations. It does not certify every historical record, future search result, archive policy, backup, export, security setting or system behaviour.
Attach the completed sheet to the relevant handover record alongside the dated scope. Preserve open exceptions with their owners and next review point. If the team later changes the archive route, label, search boundary or record relationship, review whether this acceptance remains applicable rather than silently carrying it forward.
The useful result is modest: people know what to search for, where to start, what archived state should be visible, what linked context matters, and who decides on a possible return to active work. That clarity can reduce avoidable guesswork while keeping the original scope intact.
- Acceptance authority identified
- Completed sheet attached
- Open items retained
- No scope changes assumed
- Review boundary restated
